Cancellation Policy
We appreciate your choice of our services, and to ensure the smooth operation of our schedule and service delivery, please carefully review our cancellation policy outlined below:
- Cancellation Notice:
A minimum of 2 business days notice is required for the cancellation of any scheduled services or appointments.
- Cancellation Fee:
If the required 2 business days notice is not provided, a cancellation fee equivalent to 100% of the service fee will be charged.
- Reason for Cancellation Fee:
Our schedule is carefully planned to accommodate the needs of all our clients. When appointments are cancelled without sufficient notice, it prevents us from scheduling another client during that time slot.
The 100% cancellation fee is imposed to cover the costs associated with the reserved time and the inability to book other clients during that period.
- Exceptions:
Please contact us as soon as possible to discuss any exceptional situations.
- Communication of Cancellation:
Cancellation notices should be communicated directly to our office by email at admin@kaleidoscopetherapy.com.au or you can call the office. If the phone is unattended please leave a message this includes on weekends.
- Late Arrivals:
If you anticipate being late for a scheduled appointment, please inform us as soon as possible. While we will make every effort to accommodate late arrivals, this may not always be possible and may result in a shortened appointment duration.
- No-Show Policy:
Failure to provide any notice of cancellation, resulting in a “no-show,” will be treated as a cancellation without notice, and the 100% cancellation fee will be applied.
- Appeals Process:
Clients may appeal the cancellation fee in exceptional circumstances by contacting our office and providing documentation or explanation for the inability to provide the required notice.
- Payment of Cancellation Fee:
The cancellation fee will be invoiced and is payable within 3 days of the cancelled appointment date.
- Changes to Policy:
This cancellation policy is subject to change. Any modifications will be communicated to clients in advance.
